Legal Administrative Assistant (all areas of our practice)
Hours of Work
Monday to Friday, 8:30 am – 4:30 pm.
Duties and Responsibilities
· Communicate with lawyers, staff, clients, legal professionals and others
o Use of telephone, email, and in person
o Collecting and providing information
o Receiving directions from responsible lawyer or other staff
o Regularly reviewing files with the responsible lawyer
o Reviewing and responding to incoming email, and voicemails
· Tracking deadlines and organization
o Calculation of limitation dates
o Managing a Bring Forward (BF) system
o Advising the responsible lawyer of pending deadlines and ensuring submissions made by required deadlines
· Scheduling
o Contacting clients, other lawyers, court reporters, experts, courts, etc.
o Updating the responsible lawyer’s calendars, BF system and trial schedule
· Preparing and submitting correspondence, forms and legal documents
o Creating documents from firm precedents and or using online platforms or court forms
o Drafting various pleadings for various areas of law
o Making copies, submitting to agents, courts, opposing counsel, etc.
· Organizing files and binders
o Copying
o Filing
o Compiling and indexing
· Posting and billing
o Posting time and disbursements using Unity Accounting (formerly ESILAW), papercut, etc.
o Preparing bills using Unity Accounting (formerly ESILAW) and firm precedents
o Following up with clients for payment
o Accepting payments and ensuring correct and accurate records
Qualifications
· Grade 12 Diploma
· Legal Administrative Assistant certification or equivalent experience
Technical Skills
· Experience and proficiency in office equipment including computers, telephones, printers/copiers and fax machines
· Experience with Microsoft Office Suite, including Microsoft Word, Excel, Outlook
· Fast and accurate keyboarding and transcribing
· Experience with Unity Accounting (formerly ESILAW) and document management programs an asset
· Experience with BC Online, Divorcemate and other platforms an asset
· Knowledgeable in Supreme Court Family and Civil Rules/Forms and Provincial Court Family Rules/Forms

Salary and Benefits
· Salary commensurate with experience and benefits available after successful completion of probationary period
